Financial Wizard Wanted: Manage Transactions for 5-10 Exciting Businesses - Upwork

Apibūdinimas: Ok here’s the rundown… We are a rapidly growing agency / accelerator and we have quickly found a need for continuous help managing the books and financial records for multiple businesses.


Our culture is young, scrappy, fun, and cool and the businesses we work on are really cool brands, events, etc.


We know numbers really well… our frustration is that we don’t have the technical skills and time to make Quickbooks do what we want it to do…


Here are 3 example tasks that are driving us crazy right now… If you look at these and think, “dude… this is easy stuff” then you are the perfect candidate and you would kill it here.


**Example 1: Organizing Stripe Charges.**


One of our businesses does a few hundred thousand per month, ALL through Stripe. Our last bookkeeper said “Oh, we’ll only record the transactions when they HIT your bank account (ie: Stripe deposits) instead of when the money hits Stripe.


Now, when we run our numbers, it says we did “$400,000” in sales in may for example, when it was actually $436,607.93 minus X amount in merchant fees, etc…


We know it needs to be recorded the SECOND way instead of what our last bookkeeper did, but we don’t have the technical skill to fix.


**Example 2: Cleaning up chart of accounts.**


In another business, many of the transactions were just lumped into random accounts and categories without asking us what they are even for… So now when we pull reports it says we had $12k in contract labor when those expenses were actually for rent… for example.


Now we need to go in, review the expenses in each category, and move them to the right category.


**Example 3: Forecasting Expenses**


In one of our businesses, we’re very seasonal and we have a LOT of expenses that all hit in 1 or 2 months. It would be awesome if we could enter all of these upcoming bills in the system so we could see some type of report with all upcoming expenses for the next 6 months…


That’s the type of stuff we need help with… Now let’s talk about the opportunity, tasks, and you.


**Required tasks:**


Managing QB accounts, connections, and weekly transactions for 6 different businesses.


- Some of the businesses are very simple with the same basic charges happening all of the time, a couple of the businesses are pretty complex with weird charges coming in that need to be assigned to different classes.


Proactively managing a chart of accounts for each business


- The way QB does a chart of accounts is so crazy to me… I would like to run a REALLY streamlined chart of accounts with very literal language for each type of charge.

- Not to say I want to throw out the QB chart of accounts… Just to strip it back and make it simple.


Running monthly reports for certain types of charges


- Example: All software expenses so we can review active subscriptions and shut down unneeded accounts.


Bonus: Managing quarterly filings.


- One of our businesses needs to file sales tax in 9 different states quarterly… Would be awesome to find someone who can assist with this as well.


**About the person (hopefully, you.)**


Looking for someone who will work on Slack, is comfortable sending Loom videos or screen recordings, is very knowledgeable with Quickbooks, and is a good communicator.


We’re based in Salt Lake City, UT, but I am expecting this to be a remote role with international applicants, etc.


**Dream candidate:**


My dream would be someone who left a big company or accounting group and has gone out on their own… Maybe wanted to trade in the cubicle life to work from a beach chair?


**About the job:**


- I’m seeing this as a continuing role… I don’t know if it’s a full-time thing at first, but I could see if becoming a full-time role possibly.

- Work would be very consistent… looking for someone LONG TERM who can grow with our team.


**Required Skills:**


- Deep knowledge in Quickbooks

- Skilled in Google Sheets

- Not afraid to communicate through Slack

- Willing to do video calls for questions, training, etc

- Willing to communicate through screen recordings, Loom videos, etc

- Willing to follow up and get tasks across the finish line…
